Donor Engagement Coordinator
The Donor Engagement Coordinator plays a central operational role within The Kettle Society’s Philanthropy and Communications team at an exciting time of organizational growth. Reporting to the Manager, Philanthropy & Communications, this position provides comprehensive administrative, coordination, and data management support to advance the organization’s fundraising and donor engagement efforts.
This role serves as the operational control centre for the development function, ensuring that fundraising systems, donor data, and workflows are accurate, integrated, and functioning effectively. The Donor Engagement Coordinator is essential to creating a strong donor experience and enabling relationship-based fundraising.
The Kettle Society is entering a significant and energizing phase, including the launch of a capital campaign. This role offers a unique opportunity to gain hands-on experience supporting major fundraising initiatives within a small, high-functioning, and collaborative team.
We envision the Donor Engagement Coordinator will allocate approximately 75% of their time to fundraising and donor-related activities, and 25% to communications support, while working closely with colleagues across development, communications, finance, and programs.

Typical Duties & Responsibilities
Fundraising Administration & Donor Engagement Support (Approx 75%)
Provide comprehensive administrative support to the Philanthropy and Communications team, ensuring smooth day-to-day operations.
Support the planning, coordination, and execution of fundraising campaigns, donor appeals, events, and stewardship initiatives.
Manage donor correspondence, including gift acknowledgements, thank-you letters, impact updates, and stewardship touchpoints.
Assist with donor recognition activities, ensuring accuracy and consistency across communications and platforms.
Respond to donor inquiries in a professional, timely, and donor-centered manner.
Support relationship tracking by documenting donor interactions, follow-ups, and next steps.
Assist with preparation of donor briefings, reports, presentations, and meeting materials.
Donation Processing & Financial Coordination
Process all donations accurately and in a timely manner, including online, cheque, cash, and third-party gifts.
Ensure timely issuance of tax receipts in compliance with CRA regulations.
Reconcile donation records with Finance and support month-end and year-end processes.
Maintain clear documentation of donation processing procedures and workflows.
Donor Database & Data Management
Maintain the donor database with a high level of accuracy, integrity, and confidentiality.
Enter, update, and audit donor records, including contact information, gift history, and communication preferences.
Conduct regular data clean-up and quality control.
Generate reports, mailing lists, and donor segments to support fundraising and communications activities.
Support basic analysis of donor trends and campaign performance.
Ensure compliance with privacy legislation and internal data policies.
Systems, Workflow & Operational Oversight
Act as a central point of coordination for development systems, calendars, and workflows.
Support alignment between fundraising, communications, and finance systems.
Track timelines, deliverables, and deadlines for fundraising and donor engagement activities.
Identify opportunities to improve processes, efficiency, and donor experience.
Support documentation and onboarding related to development systems and procedures.
Communications Support (Approx. 25%)
Support with drafting donor-focused communications such as newsletters, e-appeals, impact reports, and website updates.
Assist with editing, coordination, scheduling, and distribution of content i.e. social media posts, donor impact reports, quarterly newsletters
Ensure communications align with The Kettle Society’s brand, voice, and ethical storytelling standards.
Maintain and update mailing lists and communication segments.
Support tracking and reporting on communications engagement metrics.
Qualifications Education and Experience
This is an entry-level position; prior fundraising experience is not required.
1-3 years of experience in an administrative, coordination, or support role is an asset.
Undergraduate university degree in nonprofit management, communications, administration, or a related field is an asset, or an equivalent combination of education and experience.
Experience with databases, CRMs, or data entry is an asset.
Experience in a nonprofit, social services, or unionized environment is an asset.
Knowledge, Skills and Abilities
Strong organizational and administrative skills, with attention to detail and the ability to manage multiple tasks and deadlines.
Comfort working with data, systems, and spreadsheets, and an interest in understanding how data supports effective fundraising and donor relationships.
Willingness to engage in fundraising and donor-facing activities, including speaking with supporters and assisting with fundraising conversations and asks, with training and support.
Clear, thoughtful written and verbal communication skills, with the ability to adapt tone for different audiences and platforms.
Interest in writing and storytelling, including contributing to donor communications, newsletters, impact reports, and social media content.
Ability to gather and organize information from different sources and help turn it into clear, engaging, and ethical stories about impact.
Comfort following established processes and learning new systems, with an interest in helping improve how things are done over time.
Curiosity, initiative, and enthusiasm for learning, taking on projects, and building skills in a supportive team environment.
Strong interpersonal skills, professionalism, and a collaborative approach to working with colleagues and community members.

Additional Information
This is a hybrid position, requiring a minimum of three days per week in-office at The Kettle Society’s East Vancouver location, with up to two remote days per week if desired.

Compensation
The successful candidate will start at a rate between $53,552 and $63,593 per annum, based on a 37.5-hour work week. This will be individually tailored to reflect your unique experience and qualifications as they relate to the role, along with internal equity.
